OPPORTUNITY SUMMARY
We are seeking a highly organized and proactive Office Administrator to support the day-to-day operations of our small company. This role is essential in ensuring the office runs smoothly, efficiently, and professionally. The ideal candidate is self-directed, detail-oriented, adaptable, and comfortable handling a variety of administrative tasks.
The Office Administrator is primarily responsible for the administration of the office, including managing office systems and vendor relationships, and supporting the administrative needs of the executive team. This position works closely with internal teams and external partners to implement and maintain streamlined processes and ensure a well-supported operating environment for the company.
KEY RESPONSIBILITIES
Manage daily office operations, including scheduling and correspondence.
Answer and direct phone calls, emails, and other communications.
Maintain office supplies inventory, and place orders, when needed.
Ensure the office environment is organized and professional.
Provide general administrative support to management and other team members.
Coordinate, schedule and arrange meetings and company events, including sourcing, evaluating and booking appropriate venues.
Arrange business travel and conference attendance logistics.
Assist with basic bookkeeping tasks, such as invoicing, expense tracking and data entry.
Responsible for full onboarding process for new employees and consultants, and assist with other human resources tasks, as needed.
Responsible for managing organization-wide IT systems access for employees and consultants, and for the implementation and on-going compliance with company IT security procedures and best practices.
Coordinate with external partners and consultants (e.g., IT support, benefits, payroll, human resources support, and other external vendors).
QUALIFICATIONS
EDUCATION AND WORK EXPERIENCE
Bachelor’s degree required.
Administrative experience, an asset.
TECHNICAL KNOWLEDGE AND SKILLS
Microsoft Office Suite knowledge, specifically with Microsoft Excel, required.
Experience working in Adobe Acrobat, an asset.

Proficiency in French (oral and written).

REPORTING
This position reports to the Senior Vice President, Administration.
